Ndengera CBC Polyclinic is a 24-hour polyclinic operating under the Ndengera Foundation in Gisenyi, Rubavu District, Rwanda. This Privacy Policy applies to the website at ndengeraclinic.rw and covers the appointment booking form, the contact form, the health news section, and any other page that collects information from you.
This policy does not cover information collected in person at our campus, such as your clinical medical record — that information is governed by our internal patient confidentiality procedures and Rwandan health regulations, not by this website policy.

When you book an appointment
The appointment form asks for your full name, phone number, and preferred date and time. You may also optionally provide your email address, national ID number, gender, insurance scheme, a preferred doctor, and a short note about your reason for the visit. This information is used only to prepare your visit and is shared with the clinical and reception staff who will attend to you.
When you send us a message
The contact form asks for your full name, phone number, subject, and message. You may optionally add your email address and choose a specific department or doctor you would like your message routed to. This information is used only to respond to your inquiry.
When you like or comment on a health news story
To like a story or leave a comment, we ask for your phone number. This lets our editorial team verify that likes and comments come from real visitors rather than automated bots, and lets us reach you if we have a question about your comment. Comments are held for staff review before they appear publicly, and are never shown alongside your phone number.
Automatically collected information
Like most websites, our server automatically records basic technical details for every visit, such as your IP address, browser type, and the pages you viewed. We use this only to keep the website secure and working correctly, and we do not use it to build a profile of you.
How We Use Your Information
We use the information you provide to: confirm and prepare your appointment; respond to your message or route it to the right department or doctor; verify and moderate likes and comments on our health news stories; keep our records accurate for insurance and billing purposes when you visit; and improve this website.
We do not use your information for marketing unrelated to your care, and we do not sell your information to anyone.
How We Share Information
Your information is shared only with Ndengera CBC Polyclinic staff who need it to do their job — for example, reception staff preparing your appointment, or the department or doctor you asked to reach through the contact form.

Comments awaiting moderation that are rejected, and phone numbers submitted only to register a "like", are kept only as long as needed to prevent spam and are not used for any other purpose.

You may ask us at any time to: tell you what information we hold about you from this website; correct information that is inaccurate; or delete information you submitted through the contact or appointment forms, where we are not required to keep it for legal or clinical reasons.

This website does not use tracking or advertising cookies. It uses a small amount of local browser storage to remember simple preferences on your own device, such as your selected language and, if you like a health news story, your phone number so you do not need to re-enter it.

Third-Party Services
To display this website correctly, we load a small number of external services: Google Fonts for typography, a content delivery network for the Tailwind CSS design system and Lucide icons, and, on some pages, Google Maps for campus directions. These services may see your general connection details (such as your IP address) when your browser requests them, under their own privacy policies.
Links to WhatsApp and Instagram in the footer take you to those platforms' own services, which have their own privacy policies.

We take reasonable technical and organizational measures to protect the information you share with us, including restricting access to staff who need it and using secure connections for form submissions.
